You manage companies in one place: a list of companies, a form with the details and users, and the order history of the company. This article covers company details, statuses, adding users and deciding on requests to join.

1. The company list

Customers › Companies

The list shows companies with their users, administrator and orders waiting for approval. With the mass actions you Activate, Block or Delete the selected companies. Blocked companies cannot order. When a company is deleted, the customers and their orders stay. For a new company click Add company, for an existing one Edit.

2. Company details

  1. Name and Legal name, Tax number (one number, one company) and Registration number.

  2. Status: Waiting for confirmation is for companies that registered themselves, Active means the company orders, Blocked stops ordering. Only an active company orders.

  3. ERP code: the key of your ERP and of imports. If you leave it empty, the system gives the company one.

  4. Customer group: all users of the company get this group. Empty: they keep their own.

  5. Default limit per order: for buyers without a limit of their own; used when order approval is on (article Order approval over the limit). Empty means no limit.

  6. E-mail for invoices and the Address section (street, postcode, city, country).

Click Save or Save and continue. With a duplicate tax number or ERP code the module tells you which company already has it.

3. Users of the company

The Users section is in the form of an existing company. If the company has no administrator, the module warns you: add a user and make them administrator, or invite one.

  1. Add an existing customer: enter the customer's E-mail, choose the Role (administrator, buyer or viewer) and click Add. The customer must have an account in your shop and must not be in another company.

  2. Invite a person without an account with Send invitation: they get an e-mail with a link and join after signing in or registering with that address.

  3. For an existing user change the Role or Limit per order and click Save. Remove a user with Remove; the person keeps their account and orders.

4. Requests to join and invitations

If somebody registered with the tax number of an existing company, their request shows under Requests to join. Click Let in or Reject. Until you decide, the person does not join. Open invitations are in the Invitations list, where you can Send again or Cancel them.

5. Company orders

The Orders section lists the orders of the company's users: number, date, who placed it, total and status. Orders waiting for approval have the Approve and Reject buttons here. The history fills with orders from the moment the module is switched on (or imported, see the article Company accounts: moving from older modules).

The last administrator of a company cannot be removed or demoted. Make somebody else the administrator first.

Common problems

Adding a customer fails

There is no customer with that e-mail address (invite the person instead) or the customer already belongs to another company. A customer can be in one company only.

I cannot save the company

The tax number or ERP code already belongs to another company. A company created by another module cannot be edited here.
