Company accounts: roles and limits

The difference between administrator, buyer and viewer, the limit per order for a user and the default limit of a company, and where to change them.

Every user of a company has a role and can also have a limit per order. The role decides what the person may do; the limit decides up to what amount they may order without approval. This article explains both and where to change them.

1. Three roles

  • Administrator: manages users (invites, changes roles and limits, removes), decides on requests to join and approves orders over the limit. Has no limit of their own unless you set one.
  • Buyer: orders, within their limit. Sees the orders of the company.
  • Viewer: sees the orders of the company but cannot order.

The server checks this at every checkout, whatever the theme or payment method: a viewer is stopped just before the order is placed. A user of a blocked or unconfirmed company cannot order either. In the cart and at the checkout a company user sees a short note about their role.

2. The limit per order

The limit is an amount in the base currency of the shop. The user's own limit applies first; if there is none, the default limit of the company; if there is none either, there is no limit. A limit takes effect only when order approval is on (article Order approval over the limit).

3. Where to change them

  1. Company administrator: open My account › My company. Next to the user click Change.

  2. Change the Role and Limit per order. An empty limit means "no limit of its own" (the default limit of the company applies). Click Save.

  3. Shop owner: Customers › Companies › Edit, the Users section. Choose the Role of the user, enter the Limit per order and click Save.

  4. Set the default limit of a company in the company form, in the Default limit per order field. The starting value for new companies comes from the Default limit per order (base currency) setting in the Order approval group (Stores › Configuration › Magelan › Companies).

4. Rules the module protects

  • A company always keeps an administrator: the last one cannot be removed or demoted. The message tells you to make somebody else the administrator first.
  • An administrator can change only the users of their own company.
  • A viewer and a buyer cannot change users or decide on orders, even if they call the address by hand.
Use the role for what a person may do (viewer for an accountant who only follows orders) and the limit for how much they may spend. For most companies the default limit in the company form is enough.

Common problems

A buyer says they cannot order

Check the role (a viewer does not order) and the status of the company (it must be active).

I cannot demote an administrator

They are the last administrator. Make another person the administrator first.
