Every order paid on account becomes a receivable. Here you review them, export them and mark them as paid when the money arrives. When the term has passed, the receivable becomes overdue by itself.
Before you start
- the permission "Open receivables"; for marking also the permission "Mark receivables as paid or written off".
1. Open the list
Sales › Operations › Open receivables
At the top is a summary: Open (the total amount), Overdue and Receivables (the count). The table has the columns ID, Order, Customer, E-mail, Company ID, Amount, Currency, Due, Days overdue, Status, Reminders sent, Last reminder, Paid and Purchase order. You search with the search box, filter with the filters (for example the status Overdue or a due date range) and export the list to CSV with the export button.
The states are Open, Overdue, Paid, Written off and Cancelled. Amounts are in the base currency.
2. Mark the payment
One at a time: in the Action column choose Mark as paid and confirm the question. View order is there too.
In bulk: tick the rows and in the actions menu choose Mark as paid, Write off or Open again. The message tells you how many rows were changed and how many were skipped.
On the order: open the order and click Mark payment as received. The button appears only on orders with an open receivable.
Use Write off for a debt you will not collect: a written-off receivable stops counting against the credit limit. Open again returns a receivable to open if you marked it by mistake. An already paid receivable cannot be marked again, and some transitions between states are not allowed; the message tells you why.
3. What happens with credit memos and cancellations
The receivable follows the order. If you cancel the order, the receivable becomes cancelled. A credit memo reduces the amount owed; a credit memo for the full amount cancels the receivable.
4. Advanced: connecting an ERP
Marking is also available as a public service (the PHP interface ReceivableManagementInterface and REST). Calling it needs the permission "Mark receivables as paid or written off". All calls are idempotent.
POST /V1/magelan-terms/receivables/:receivableId/paid {"paidAt": "2026-10-14", "note": "bank statement 17", "paidBy": "ERP"}
POST /V1/magelan-terms/orders/:orderId/paid
POST /V1/magelan-terms/receivables/:receivableId/write-off
POST /V1/magelan-terms/receivables/:receivableId/reopen
When a state changes, the event magelan_terms_receivable_status_changed is fired, which other extensions can listen to.
Common problems
The Mark payment as received button is missing
The order has no open receivable (it is already paid, written off or cancelled), or your role does not have the permission to mark.
The receivable is overdue but the customer has paid
Mark it as paid. Reminders then stop. If a reminder already went out, it may simply have crossed with the payment.
