Shipping and invoicing orders in bulk

Create shipments and invoices for many orders at once with a single action in the order grid, with or without emails to customers.

Once the day's parcels are packed, you do not need to open each order separately. In the order grid, select all the orders going out today, and with one action the shop creates a shipment and an invoice for each of them. This moves the orders to their final status, and customers can get email notifications if you want.

1. How to do it

Sales › Orders

  1. Use the filters (for example by status or date) to show the orders that are ready to ship, and select them. Select All selects all orders on the page.

  2. Under Actions, choose Ship and Invoice (with email) or Ship and Invoice (without email).

The order grid with the Actions menu open, showing the bulk shipping actions
    1. Ship and Invoice (with email) - the customer gets both emails.
    2. Ship and Invoice (without email) - no email to the customer.
  3. Confirm the question Are you sure you want to create shipment and invoice for selected items?

A message at the top shows how many orders got a shipment and an invoice. Orders that already had a shipment or invoice are listed by number and stay unchanged.

with emaila shipping email and an invoice email
without emailnothing; the order is completed quietly

2. What is recorded on the order

Each order gets a shipment with all its items and an invoice for the full amount. The Comments History records that the order was shipped with the bulk action, along with the name of the admin user who did it. So later you know who completed which order.

The action ships all items in the order and invoices the full amount. For partial shipments, or orders where some items are still waiting, use the usual order workflow on the individual order.
If you print carrier labels (GLS, Pošta Slovenije), the shipment is already created there. For those orders, this action only adds the invoice; it does not create a second shipment.

Common problems

For some orders it says the shipment already exists

These are orders that were shipped earlier (manually or by printing labels). The action skips them; nothing is wrong.

The customer did not get an email

Check that you chose the action with email. The action without email sends nothing; you can send the email later from the individual order.

The order was not completed

The order may have items that cannot be shipped, or it may be on hold. Open it and check its status.
