Payments the module could not settle by itself wait in the list. Each has a suggestion, the reasons and buttons to decide.
The list of payments
Sales › Operations › Bank reconciliation › Transactions
At the top you see today’s number of credits, reconciled and payments for review, and the number of unpaid orders. You filter the list by state, date, amount, confidence and import. Badge colours: green reconciled, orange for review, red unmatched, grey set aside, purple canceled order.
What to do in each state
One suggestion, for review. Open the payment, check the order and the reasons (reference equal, amount equal, name 78 % similar) and press Confirm and invoice. The module issues an offline invoice, adds a comment to the order history, moves the order to Processing and sends “Payment received”.
Two candidates. None is chosen. Pick the right order and confirm; the other stays open.
No candidates. Press Link to order, find the order by number, name or amount and choose it. If the transfer is not for the shop, mark it Unrelated or Ignore it; it does not appear again on the next import.
Partial payment. No invoice is issued. Choose Wait for top-up (the next payment with the same reference adds up automatically) or Record as paid in full if you wrote off the missing amount.
Overpayment. Press Confirm and invoice: the invoice is for the order amount. Refund or credit the difference outside the module, then press Mark as done.
Canceled order. Nothing changes automatically. Refund the customer, or ask whether they still want the goods and create a new order. Then press Mark as handled.
Several payments at once
Tick the rows and choose Confirm and invoice: the module handles only the rows with one suggestion and tells you how many it skipped.
Common problems
The invoice could not be created
Magento refused the invoice, for example because the order already has one or is on hold. The payment stays linked. Fix the cause on the order and press Try again.
I cannot see the payer’s name
Name, IBAN and remittance are visible only to roles with the permission “View payer data”. Everybody else sees the name as “M**** N****”.
