Online store for wholesale (B2B): A modern solution for efficient business

More and more companies are switching to online business methods even in the field of wholesale. While it was common just a few years ago to place orders via email or phone, today more and more companies are ordering directly through an online store. This trend is not only convenient – it allows companies greater efficiency, transparency, and cost control.

For a successful wholesale store (B2B), a slightly different design is required than for classic retail (B2C) stores. Pricing rules, better control over quantities, automated processes, and easy order repetition are important.

Flexible pricing for wholesalers

One of the biggest differences between B2C and B2B stores is pricing. Wholesale customers expect individual terms – meaning the same price does not apply to everyone. Often, those customers who do more business with us have better terms on their orders.

On the Magento platform, which I develop on, prices can be set by customer groups (e.g., partners, distributors, premium customers) and/or by the quantity of products ordered (larger quantity = lower price). This is a sensible solution for a smaller number of customers or more unified conditions.

For example:

  • up to 10 pieces: €5.00
  • from 11 to 50 pieces: €4.50
  • over 100 pieces: €4.00

However, if you have a large number of customers, each with their agreed price list, it makes sense to use additional extensions that allow pricing per individual customer. This approach is often used in industries where relationships are long-term and prices are dynamic.

Integration of B2B store with ERP system

Companies with a wide range of products, large inventories, and different price lists simply cannot afford to manually manage all data in the online store. Therefore, the integration of the online store with the ERP system is crucial.

This connects key data between the store and the backend system:

  • automatic synchronization of stocks and prices,
  • transfer of orders directly to the backend system,
  • unified data management without duplication of work,
  • faster and more reliable processing.

Such integration quickly pays off with lower labor costs and better process control.

Customized product display in B2B store for easier ordering

Customers in a B2B store usually know exactly what they are looking for – therefore, the interface must be adapted for speed. Instead of a product grid, a row display is often more effective, where quantities, prices, stocks, and the ability to add multiple products to the cart at once are clearly visible.

To help customers quickly find what they are looking for, the store can be upgraded with:

  • search by item codes,
  • filters by categories and tags,
  • advanced sorting by popularity, newness, or price,
  • quick item entry, where the customer enters or pastes a list of codes and quantities.

Reordering and import from files

Regular wholesale customers often order the same products – so we can enable them to:

  • repeat the order with one click,
  • prepare the order in their system and import it as a CSV file,
  • use a prepared template where they only supplement the quantities.

This shortens the ordering time to a few seconds and reduces the need for manual item searching.

Product export for resellers

If you also sell your products to other retailers who offer them in their online stores, you can make their work easier with XML product export. This way, they can import your items along with descriptions, images, prices, and stocks directly into their system.

This functionality is especially useful in cases where you want to establish a dropshipping model or closer partnership cooperation.

Flexible payment methods and terms

Wholesale customers do not always pay at the time of order. Some have deferred payments (e.g., 30 days), others may order based on contracts. The store can be adjusted to:

  • display appropriate payment methods based on the customer,
  • allow orders without immediate payment,
  • display the customer's specific terms and deadlines.

Additional functionalities for more demanding wholesale systems

Advanced B2B solutions can include:

  • private access (only for registered and approved users),
  • automatic determination of customer group based on VAT number (verification via VIES system),
  • multiple users within one company, each with certain rights,
  • approval of orders within the customer's organization,
  • different price lists for different locations or business units,
  • display of own documentation (invoices, delivery notes, contracts, product specifications ...) within the user account or limited access.

Such a solution fully adapts to your business method and provides a professional user experience even for the largest business partners.

An online store for wholesale is no longer a luxury, but a necessity.
