ERP connector: orders, stock and prices

About the module

What it does.

"We retype orders from the store into our accounting program, and the stock never matches." Retyping is slow and error-prone, and the store shows a different stock than your warehouse.

What it looks like in practice

A customer places an order. The store saves it in a queue and the ERP receives it in the background at the right moment: for cash on delivery or bank transfer at once, for cards only after the invoice is paid. On the order in the admin you see its state and the document number in the ERP. Stock and prices are read from the ERP on a schedule and written to the store when you approve them or when the run is automatic. If something gets stuck, you get an e-mail explaining it in plain words.

What changes

Each order exactly once. Every order has an immutable external key, and before creating a document the ERP is asked whether it already exists. Uncertain cases (a lost connection, say) are looked up first, never resent blindly.
Right payment, right moment. Card and other online payments wait for a paid invoice; cash on delivery and bank transfer go at once. Cancelled and suspicious orders stay out.
Stock and prices back into the store. Stock per warehouse, regular price, sale price with dates and customer-group prices; guards stop a run when an unusual number of items or prices change, and you decide whether they are written.
Status back from the ERP. The order's state in the ERP returns as an order comment and an order status in the store, never backwards.
It does not guess. If a payment method or VAT rate is not mapped, or the lines do not match the order total, the order is stopped and a task is created for a person.

Who it is for

For stores that use Birokrat or SAOP iCenter and want to get rid of retyping orders and reconciling stock and prices by hand.

How you set it up

Overview, log, mappings, stock and prices, and the wizard are under Sales › ERP connection. Settings are under Stores › Configuration › Magelan › ERP connection. The module is mostly back-end, so it does not depend on the theme (Luma and Hyvä).

Good to know

The module is switched off by default; you switch it on in the wizard after a dry run.
Birokrat and SAOP iCenter are supported. For each you need access (an API key or an account), and we adapt the details of your ERP at the first connection.
Cancellation: Birokrat's API cannot cancel a document, so a cancelled order becomes a task for a person; with SAOP the cancellation is sent where the system allows it.
Cron must be running; sending runs in its own cron group, so checkout never waits for the ERP.
Stock and prices are only compared during the first 24 hours after going live; writing starts after that.

Installation

How to install it.

We install the module from our repository with Composer. We send you the user name and access key for the repository after purchase. If you prefer, we install it for you.

In the root of the Magento 2 store run the commands (replace UPORABNIK and DOSTOPNI_KLJUC with the user name and access key you received):

Setup

In the admin open Sales › ERP connection › Setup.

Choose the system (Birokrat, SAOP iCenter, or the demo for trying) and enter the access details.
Saving checks the connection and fills in the mappings where it can.
Under Mappings check payment methods (with the send rule), VAT, services and shipping.
Run a dry run: the last three orders are built as they would be sent, but nothing is written.
Switch the connection on, enter the alert e-mail, then set up stock and prices in Stores › Configuration › Magelan › ERP connection if needed.

Where do I get the user name and the access key?

After the purchase we send you the access key by e-mail. Keep it safe: for security it is shown only once and we do not keep it in readable form. The user name (your project code) and all the commands, ready to copy, are in your account under My account > Module licences.

Pantheon (not yet verified with a real server): certificate pinning for a server with its own certificate, adjustable timeouts, and a clearer message when the server answers 403 after login (check the user's rights and the licence).
Pantheon: a command that takes over the orders the old module already exported, so they are never sent twice. It only counts first and sends nothing.

ERP prices into the Customer Prices module: each shared ERP price list can be mapped to a customer price list. Prices become fixed prices from quantity 1, with the same safeguards as other price updates.
Rows the ERP stops sending are removed, and rows added by hand stay.
Without the Customer Prices module this option is not offered.

New connector for Datalab PANTHEON: orders, companies and private persons, order status back, stock per warehouse, selling prices and reference lists. Tested against a simulator; real access is not verified yet.
A cancelled order is never deleted from outside: it moves to a chosen status or becomes a task for a person.
An unknown server answer no longer reads as silent zero stock but fails with the column names.

New connector for SAOP iCenter: orders, cancellation, lookup by number, companies, stock per warehouse and prices per price list. Tested against a simulator, not yet verified with a real account.
Status back from the ERP: every change is an order comment, the status only moves forward, and the order can be closed like in the ERP.
A warning when an order changes after it was sent.
A send rule by status for each payment method, leaving a warehouse out of the shop's stock, and a Do not overwrite from the ERP lock on a product.
A price list as a customer group price, the history of one order with request and response, and commands for re-sending and GDPR anonymisation.
Alert e-mails are written in the shop's language and local time.

Stock from the ERP every 5, 15, 30 or 60 minutes. Only differences are stored, matched by SKU.
Safety stock and adding back orders the ERP already counts, so stock is not counted twice.
