Affiliate program: commissions, refunds and payouts

A commission is Pending, Approved, Paid or Cancelled. The partner asks for a payout, you transfer and mark it with a reference, and export a CSV for the bank.

Every commission is a row in a ledger. You see them under Marketing › Affiliate program › Commissions.

States

  • Pending: the order is placed and waits for the invoice (or shipment) and the hold time (14 days by default). In this time the customer can return the order.
  • Approved: ready to be paid out.
  • Paid: the payout is marked as paid.
  • Cancelled: the order is cancelled or the commission rejected. The partner does not see the reason.

A credit memo adds a negative row for the refunded part. If the commission was already paid, it is deducted from the next payout.

A payout

  1. The partner enters the payout details in the account and clicks Request payout (above the minimum). You get an e-mail.
  2. In Marketing › Affiliate program › Payouts open the payout. You see the rows, the account holder and the IBAN.
  3. Export a CSV for the bank or the accountant (separate columns for the partner type and tax number) and transfer the amount.
  4. Enter the transfer reference and click Mark as paid. The partner gets an e-mail.

Check the tax treatment of payouts (private persons, VAT on a partner's invoice) with your accountant. The module gives no tax advice. If you turn on "Require the partner's invoice" in the settings, a payout cannot be marked as paid without it.
