Reminders for unpaid pro forma invoice orders

If a customer has not paid the pro forma invoice after a few days, the shop reminds them by email and cancels the order after a few more days.

When customers pay by pro forma invoice (for example with the UPN payment slip, the Slovenian bank transfer form), some of them forget to pay. So every morning the shop checks the open orders. A customer who still has not paid after a set number of days gets a reminder. After a longer period, the shop cancels the order and lets the customer know.

1. Settings

Stores › Configuration › Magelan › UPN reminder Settings › General Settings

  1. Set Enable Module to Yes.

General settings of the UPN reminder: switch, days, email texts and order statuses
    1. Enable Module - Yes switches on the daily order check.
    2. Days Til Reminder - the reminder goes out after this many days.
    3. Days Til Cancel Order - the order is cancelled after this many days.
    4. Reminder Email Comment - the reminder text.
    5. Resend Order Email After Comment - the customer also gets the order confirmation again.
    6. Cancellation Email Comment - the text sent on cancellation.
    7. Order Statuses for Reminder - only the status of unpaid pro forma orders.
  2. In Days Til Reminder, enter how many days after the order is placed the reminder should go out (for example 3).

  3. In Days Til Cancel Order, enter after how many days an unpaid order is cancelled (for example 10). This number must be higher than the days until the reminder.

  4. In Reminder Email Comment, write the reminder text, for example: Your order is still waiting for payment. You will find the payment details in your order confirmation.

  5. Setting Resend Order Email After Comment to Yes means the customer gets the order confirmation with the payment details again, together with the reminder. We recommend it.

  6. In Cancellation Email Comment, write the text sent on cancellation, for example: As we have not received your payment, we have cancelled your order. If you still want the products, please place a new order.

  7. In Order Statuses for Reminder, select only the status that unpaid pro forma orders have (usually the status of new orders).

  8. Click Save Config.

Both day fields must be filled in. An empty field means "the same day": orders placed today would be cancelled the very next morning. When choosing statuses, make sure you do not include the status that card-paid orders get, or they would get a reminder too.

2. What happens

The check runs once a day, in the morning. The shop looks for orders in the selected statuses that were placed exactly as many days ago as you entered:

DayWhat the shop doesWhat the customer sees
days until the reminderadds a comment to the order and sends it to the customeran email with your reminder text (and, if you want, the order confirmation again)
days until cancellationcancels the order and adds a commentan email with the cancellation text

You can see the messages sent on the order, under Comments History. If the customer pays after the reminder, process the order as part of the usual order workflow.

As soon as the payment arrives, move the order on to the next status (for example by creating the invoice). An order left in its starting status will be cancelled on the cancellation day, even if it has been paid.

Common problems

The customer did not get a reminder

The reminder is only sent on the day that matches the number of days you entered. If the order already had a different status on that day, no reminder is sent. Also check that the module is switched on for the right store view.

A paid order was cancelled

On the cancellation day the order still had one of the listed statuses. Move paid orders on in good time. A cancelled order cannot be brought back; ask the customer to place a new order or enter it manually.

Customers who paid by card also got a reminder

One of the selected statuses is also given to card orders. Remove it from the Order Statuses for Reminder list.
